What's Included

• Venue Sourcing & Management – Research, evaluation, and presentation of venue options, contract negotiation, and vendor coordination. Optional management of venue expenses and associated costs.
• Event Materials & Logistics – Sourcing, production coordination, and management of event signage, branded materials, promotional items, and on-site activations. Optional purchasing and expense management available.
• Registration Experience & Management – Build and manage a branded event registration page using your preferred platform or ours. Configure automated, real-time registration notifications for hosts and event staff, establish approval criteria, and manage registration confirmations, waitlists, and attendee status throughout the event lifecycle.
• External Communications – Development of attendee-facing email and calendar communications, including invitations, confirmations, reminders, event details, and post-event thank-you messages.
• Internal Communications – Coordination of internal stakeholders through email, Slack/Teams, and calendar communications covering event launches, staffing, logistics, travel, and accommodations.
• Event Planning & Documentation – Comprehensive event briefs, centralized planning records, recurring weekly planning meetings, timelines, and execution checklists to ensure seamless coordination from kickoff through completion.

Pricing: $10,000 covers the Ranch Hand management fee, flight, and hotel accommodation for 1-night stay if booked within 60-days of event date. Venue, food and beverage, signage, and swag are billed separately with a 15% carry convenience fee or directly at cost.
